School Deets Importing Student Data

Platform Set Up: Importing Student Data


Importing student data is easy!  Be patient your first time and follow the video instructions and steps as listed below.  Subsequent imports will be simple. 



1.  Export your student data from your Student Information System (SIS)  typically Infinite Campus (IC) or PowerSchool.  Follow this link to view the directions for exporting your data from Infinite Campus or view below.   Save your file in CSV format.

CSV file drop directions:
  1. Log in to IC
  2. Go to Ad Hoc Reporting  
  3. Go to Data Viewer
  4. Click New
    1. Create New: Report
      1. Report Focus: Student (click ok)
  5. Name- Title the report School Deets Student Data
  6. In left hand navigation bar:
    1. Click on Demographics
    2. Double Click on Grade
    3. Double Click on Homeroom Teacher
  7. Arrange Fields (By clicking and dragging them) in the following manner:   Student First Name, Student Last Name, Student ID, Teacher, Grade
  8. Save Report
  9. Click on Back to Reports
  10. Click on School Deets Student Data
  11. Select Report Output Format:  .csv (Leave Ad Hoc Filter blank)
  12. Generate Report
  13. Save Report in .CSV FORMAT!!!


2. On the dashboard screen, locate the Manage icon and click on Students.



3. Once you click on Students you will be directed to the following screen. Scroll down, and click on create in order to import student data.




4.  From the Import Students Page, download the "Example CSV Format" from School Deets to view how to arrange your student data prior to importing it.




5.  Teacher names should always be reflected by teacher last name, teacher first name.  And student grade should only be represented by a number 0-12 or EC or IK.  0 is for Kindergarten students, EC is for pre-k kids (early childhood) and IK is for incoming kindergartners. See the same example below.


6.  Go back to the Import Students Page, select the file you want to import, and click on start import to upload your data into the system.



6.  Import the file.  Use the pop-up screens to help you check your data one last time before finally importing your data. 




7.  After completing the Student Import you will be led to the Manage Students Screen.  School Deets will automatically create and add every student to your "All School Group."  You will be asked if you want to add students to any other group.  You can do this for your school contributors or select no and let the individual contributors build their own groups.  



8.  You have completed the Student Import and your school's contributors can now build their groups.  Repeat this process multiple times of year to keep you student data accurate.  Your new data import will override any old student data and keep the groups the same.  This screen will be your final screen, with all students displaying when you imported your data successfully.
