Add Room Supporters

Add Room Supporters

If you have any type of volunteer (parent, guardian, neighbor, coach, club leader) helping out in your school, you can include them in your Digital Deets community and give them the ability to see and send out messages. Whether they are volunteering in the classroom, helping teachers organize, arranging teacher gifts, or prepping for end of year celebrations, these volunteers are integral to your school. By including them as contributors on your Digital Deets account, they can stay informed and participate in your school communications.

Create a Room Supporter

To create this new user, simply go to your Digital Deets account and:
- Go to Manage > School Users.
- Click on the "Create" button in the bottom right to create a new user. Enter their information and select role as "Contributor" and position as "Room Supporter." In the contributor role, they can send messages as well as receive them.

- Hit Save and Send Credentials. This person will be sent an email, inviting them to log in, create a password, and start using Digital Deets.

Now this person is a contributor in Digital Deets and can not only be added to groups and see those posts, they can also create groups and posts themselves. They can log in as a contributor to send messages from their mobile device or computer.

Adding Role of Contributor to Existing Parent

If your room supporter is already in the system as a parent of a child at your school, no problem--they can also be a contributor to send posts. Your sub admin needs to follow these steps to make a parent a contributor:

- Log into Digital Deets.
- Go to Manage > Parents.
- Find the parent in question and click on the pencil icon to the far right to edit their profile.
- Next to Sub Role, select "Contributor":

- Hit Save.

Now this person has two roles in the system, parent and contributor. They can toggle between the two roles to make sure they are receiving all pertinent information for both roles. They need to switch back to parent to ensure they receive all messages, as parent remains their primary role with the school. But they need to log in as contributor if they want to send a message.

When they enter their sign in credentials, they will see this pop up to decide which role they want to be in this instance:

Groups and Contributors

Once your new contributor is created, they can sign in and create their own groups, or you can share existing groups with them so that they can receive and send posts to that group. If the person is in a group as a parent, they will already see those groups when they sign in as contributor. If the group is not created yet, you must create the group first, then assign it to the contributor. To assign a group to them:

- Go to Groups and create the group (or find the group you want to share with this contributor).
- Click the share icon to the right of the group:

- Select the person in question from the list and hit "Close."
- This contributor is now a member of this group and can send and receive posts to that group.

Copying a Group

There is also a "copy" feature for groups, where a contributor can duplicate a group and then edit its members. This is useful, for instance, if they are a room supporter who is in charge of organizing teacher gifts. They might want to send posts to a classroom group that doesn't have the teacher included, so the gift isn't revealed. In this case, they can "copy" the existing classroom group and then remove the teacher from the copied group.

To do so, they need to:
- Go to Groups.
- Click the "Copy" icon on the right of the group in question.

- Give the group a new name, if desired.
- Add a group image, if desired.
- Hit "Create New Group."

This new, duplicate group has now been created, with the same members. They can click on the pencil icon to the far right of the group to remove members, such as the teacher, in this example.

Once they are all set up as contributors, here's how to create and send a post!
